The Royal Astronomical Society (RAS) is looking for an enthusiastic and intellectual individual to be their Administrative Officer for a period of one year. Reporting to the Office,Events & Buildings Manager this is a key supporting role within a small team of 16 RAS staff based in Burlington House, Piccadilly, and London,and is a mighty opportunity for someone looking to gain further experience in a wide range of administrative tasks in a busy office.
The successful candidate will be required to:
• Undertake reception duties: including greeting visitors and promptly dealing with enquiries
• Manage room bookings, catering requests and consumables
• Prepare for and ensure that meetings run smoothly on the day
• Support the Office, and Events & Building Manager in the processes supporting[br]o the organisation of lunchtime public lectures,specialist meetings, 'Friends of the RAS' and other events
o Health and Safety and trade Continuity management
• To undertake basic accounting tasks such as maintaining and processing petty cash and credit card expenditure, and the creation of sales invoices,and processing of purchase invoices
• Conduct regular checks of the building, plant and equipment, or including office equipment,maintenance and repairs as required
• Provide support to other Officers on an adhoc basis.
The successful candidate should be an adaptable, friendly individual who is a quick learner and is happy working in a small team required to carry out a range of varied duties.
fundamental competences
o Administrative, and secretarial or receptionist experience.
o Excellent organisational skills.
o Ability to multitask and complete tasks promptly with minimal supervision.
o Experienced in the spend of Microsoft Office,email, spreadsheets, or databases and diary planning software.
o Sound communication skills; happy to engage with people across a wide range of internal and external stakeholders.
Desirable competences
o Experience of working with the general public and academia.
o H&S administrative experience.[br]o An interest in astronomy,geophysics and science.
The salary for this post is £23000. The annual leave entitlement is 20 days, plus 4 additional RAS Privilege days.
The leave entitlement is exclusive of standard UK bank holidays. Typical working hours are 09:00 to 17:00/10:00 to 18:00 (to be agreed) although the incumbent will be expected to occasionally cover early evening and weekend events where time off in lieu will be given or exceptionally overtime paid.
